When you sign up for TheYardOS, you're trusting us with your business data. We take that seriously. This policy explains how we collect, use, and protect your information — and the responsibilities we each have when using the platform.
We Don't Sell Your Data
We never sell, rent, or trade your business or customer data to third parties. Your information is used solely to provide and improve TheYardOS.
Data We Collect & How We Use It
We collect account information (name, email, organization details), customer and job data you enter, and usage data. We use this to:
- Operate the platform — CRM, scheduling, jobs, invoices, and features you use
- Send emails and messages — Transactional emails (estimates, invoices, receipts), notifications, and any text/SMS you enable for customers
- Process payments — Via Stripe for subscriptions and customer invoice payments
- Power AI features — Scout uses your CRM and context to propose actions; we process data to deliver AI-assisted workflows
Stripe & Payments
We use Stripe for subscription billing and customer invoice payments. Your payment data is handled by Stripe under their Privacy Policy. We store only what we need (e.g. subscription status, customer IDs) to run billing and Stripe Connect.
Emails & Messaging
We send emails on your behalf (estimates, invoices, receipts, notifications) and support SMS/text reminders when enabled. By using TheYardOS, you consent to us using customer contact information for these purposes. You're responsible for ensuring you have permission to contact your customers.
AI (Scout)
Scout is our AI assistant. It uses your organization's data (customers, jobs, invoices, etc.) to propose actions. AI processing happens within our systems to provide suggestions. You always approve actions before they're executed. We do not train third-party models on your data.
Finance & Invoicing
We provide tools for estimates, invoices, expenses, and revenue tracking. You're responsible for accuracy, tax compliance, and any obligations to your customers or taxing authorities. We are not a substitute for professional accounting or legal advice.
Limitation of Liability
TheYardOS is provided “as is.” We work hard to keep the platform reliable and secure, but we are not liable for:
- Indirect, incidental, or consequential damages
- Data loss, delays, or errors beyond our control
- Third-party services (Stripe, email/SMS providers, etc.)
- Your business decisions, customer relationships, or compliance obligations
Our total liability is limited to the fees you paid us in the 12 months before the claim.
Your Responsibilities
You are responsible for complying with applicable laws (e.g. data protection, tax, consumer rights), maintaining the security of your account, and using customer data appropriately. You must not use TheYardOS for illegal or abusive purposes.
Data Security
We use industry-standard security measures to protect your data. You can help by keeping your password secure and not sharing account access.
Changes
We may update this policy from time to time. We'll notify you of material changes via email or in-app notice. Continued use after changes means you accept the updated policy.
