When you sign up for TheYardOS, you're trusting us with your business data. We take that seriously. This policy explains how we collect, use, and protect your information — and the responsibilities we each have when using the platform.

We Don't Sell Your Data

We never sell, rent, or trade your business or customer data to third parties. Your information is used solely to provide and improve TheYardOS.

Data We Collect & How We Use It

We collect account information (name, email, organization details), customer and job data you enter, and usage data. We use this to:

Operate the platform — CRM, scheduling, jobs, invoices, and features you use
Send emails and messages — Transactional emails (estimates, invoices, receipts), notifications, and any text/SMS you enable for customers
Process payments — Via Stripe (subscriptions and customer payments)
Optional accounting sync — When you connect QuickBooks Online, we send and update selected records with Intuit on your instruction
Power AI features — Scout uses your CRM and context to propose actions; we process data to deliver AI-assisted workflows

Stripe & payments

We use Stripe for your subscription to TheYardOS and, when you use them, for customer invoice payments (including Stripe Connect, where applicable). Card and bank data for paying subscribers and customers is collected and processed by Stripe, not by us, under Stripe’s Privacy Policy and connected terms. We may store and use limited billing metadata in our systems (for example, subscription state, transaction references, and identifiers Stripe gives us) so the product can show payment status, receipts, and support.

You are responsible for your Stripe account settings, any Connect onboarding requirements, and compliance with tax and payment rules for your business. We are not a bank, money transmitter, or payment processor—Stripe and your financial partners provide those services.

QuickBooks Online (Intuit)

If you connect QuickBooks Online, you direct us to exchange data with Intuit’s QuickBooks on your organization’s behalf (for example, customers, invoices, and job costs you choose to sync). That processing is subject to Intuit’s terms and privacy policy, in addition to this policy. We encourage you to read Intuit’s terms at intuit.com/legal and their privacy materials.

What we do: We use secure credentials (for example, OAuth tokens) to call QuickBooks on your request or as configured in the product. We store what is needed to maintain the connection and to map your TheYardOS records to your QuickBooks company. What you do: You are responsible for the accuracy of data you enter in TheYardOS and in QuickBooks, for your chart of accounts and tax treatment, and for any mapping or account IDs you configure. We do not provide accounting, tax, or legal advice. Sync features are a convenience; you remain responsible for your books and compliance.

Limitations: QuickBooks availability, rules, and APIs are controlled by Intuit. We are not responsible for outages, changes, or errors in QuickBooks, for Intuit’s handling of your data, or for disputes between you and Intuit. You can disconnect QuickBooks in product settings; disconnecting stops new syncs from TheYardOS (subject to how Intuit retains data in their system).

Emails & Messaging

We send emails on your behalf (estimates, invoices, receipts, notifications) and support SMS/text reminders when enabled. By using TheYardOS, you consent to us using customer contact information for these purposes. You're responsible for ensuring you have permission to contact your customers.

AI (Scout)

Scout is our AI assistant. It uses your organization's data (customers, jobs, invoices, etc.) to propose actions. AI processing happens within our systems to provide suggestions. You always approve actions before they're executed. We do not train third-party models on your data.

Finance & Invoicing

We provide tools for estimates, invoices, expenses, and revenue tracking. You're responsible for accuracy, tax compliance, and any obligations to your customers or taxing authorities. We are not a substitute for professional accounting or legal advice.

Limitation of Liability

TheYardOS is provided “as is.” We work hard to keep the platform reliable and secure, but we are not liable for:

Indirect, incidental, or consequential damages
Data loss, delays, or errors beyond our control
Third-party services (including Stripe for payments, Intuit QuickBooks when connected, and email/SMS or other providers we use to operate the service)
Your business decisions, customer relationships, or compliance obligations

Our total liability is limited to the fees you paid us in the 12 months before the claim.

Your Responsibilities

You are responsible for complying with applicable laws (e.g. data protection, tax, consumer rights), maintaining the security of your account, and using customer data appropriately. You must not use TheYardOS for illegal or abusive purposes.

Data Security

We use industry-standard security measures to protect your data. You can help by keeping your password secure and not sharing account access.

Changes to this policy

We may update this policy and these business terms from time to time, including when we add or change integrations (such as payment or accounting features). We will post the current version on this page and update the “Last updated” date. For material changes, we will use reasonable means to let you know—such as email to your account and/or a notice in the app—before or when they take effect, where the law or our process requires. Continued use of TheYardOS after the effective date of an update means you accept the revised policy, except where a stricter rule applies. If you do not agree, you should stop using the service and may disconnect integrations (for example, Stripe or QuickBooks) and close your account as our product and support channels allow.
